How to Install and Setup VoIPOffice Communicator for Mac (Software Release 3.8.10)

Learn how to get your VoIPOffice Communicator software up and running on Mac with the 3.8.10 release.

This guide will show you how to install and setup VoIPOffice Communicator for Mac.

VoIPOffice is a cloud phone solution provided by Telappliant. Communicator is the software phone (softphone) which enables you to make and receive calls on VoIPOffice. It is software which is installed on your Mac and replaces the functionality of a desk phone.

Note: It is important that you don’t confuse your VoIPOffice login details with your telephone extension details.

The first thing we need to do is download Communicator. Click 'Download' below.

Save the file to your computer. Once downloaded then you will need to open the file to start the installation. The file can be found in your 'Downloads' folder, click 'Open in Finder'.

Open the VoIPOffice Communicator file. When you open this '.dmg' file then you could be warned that the app is from an unidentified developer, you can run the file anyway by clicking 'Apple menu', then 'System Preferences', then 'Security & Privacy', then in the 'General' tab under 'Allow applications downloaded from' choose 'Anywhere'. You can change this setting back when the install is finished.

Drag and drop the purple 'VoIPOffice Communicator' icon into the 'Drag to here' folder. This moves Communicator into your Applications folder.

Congratulations VoIPOffice Communicator is now installed on your Mac!

    Configuring Communicator

In order to do this, you will need to login to your VoIPOffice platform and obtain your extension details.

Enter your VoIPOffice IP address or domain name into your web browser e.g. 77.240.58.250

Login to your VoIPOffice using the email address and password you’ve been provided (usually from your Welcome Pack - please ask the account holder for this information).

When you’re logged in you’ll see your extensions page. Choose the extension which you want to use with the Communicator software phone you’ve just installed. For example here we could choose Extension 11, 12 or 13.

Click the edit button on your chosen extension.

In the example below we are going to edit extension 11.

The 3 pieces of required information in the example above are:

    • VoIPOffice IP Address
    • Extension Number (should be same as Username)
    • Extension Secret

(Note: Do not use the details above, they only existed while this guide was made)

Repeat the process above for configuring communicator on multiple machines.

    Configuration Communicator

Go to your Applications folder and open VoIPOffice Communicator.

If you are opening Communicator for the very first time, you will get a warning that the application was downloaded from the internet. You can ignore this warning and click Open to continue. You won’t get this warning again unless you re-install the application.

Read the license agreement carefully and accept.

Now you’ll be greeted with the profile wizard so just click 'Continue'.

Select the edition which you have agreed to use. For example 'Business'.

Select your web browser, for example 'Safari'.

Enter your extension number as the Profile name.

When asked if you want to create a profile using configuration file tick the box if you have received a configuration file, otherwise leave this option un-ticked.

    • For 'Server' enter your VoIPOffice IP Address.
    • For 'Extension' enter your extension number / username.
    • For 'Secret' enter your extension secret / password.
    • Leave 'SIP Proxy' setting blank.

If you are using Communicator by itself choose VoIPOffice Communicator softphone account which is the default option. If you are using the Communicator software phone with a hardware phone at the same time then choose Desk Phone account.

Review and check your settings are correct.

Click Done. Congratulations you have now configured Communicator and you are ready to login.

You may get a warning that Communicator wants to access contacts, click 'OK'.

Notice that Communicator is in your Dock. Click the icon to open the application.

You may wish to keep Communicator in your dock from the options menu. If you wish, you may also choose to 'Open at Login' if you want the application to start with your Mac.

    Click 'Log In'.

You’ll see a 'Connecting to the Chat server…' message for a moment.

    Now you’re online!
