    2. Quick Guide to Common Tasks

    A step-by-step guide to completing everyday tasks quickly and efficiently.

    This chapter describes frequently performed tasks.

    Resetting a PIN

    1. On the menu bar, click .
    2. Click the name of the extension that needs a password change.
    3. Scroll down to the Change PIN section and then enter a new PIN number in the New PIN and Confirm New PIN fields. NOTE: This must be a minimum of 8 digits.
    4. Click Save.

    Update Employee's Extensions

    1. On the menu bar, click .
    2. Click the name of the employee's extension that needs updating.
    3. Once in the edit section you can change the name, department, email address and password, as appropriate and then click Save.
    4. To reset the mailbox for the new employee, click the Voicemail tab, scroll down to the Data section, click Clear Data followed by Yes at the confirmation prompt and then click Save.

    Changing Open Hours

    1. On the menu bar, click .
    2. Click the name of the time frame you want to edit.
    3. In the pop-up window, change the When setting. Use the check boxes, sliders and text fields to adjust the open hours rules, as appropriate.
    4. Click Save.

    Setting New Holidays

    Setting new holidays is a 2-step procedure. First, create or edit a time frame and then configure answering rules for that time frame.

    1. Set the time frame:
      1. On the menu bar, click .
      2. Click Add Time Frame to add a new time frame or click the Name of the time frame you want to edit.
      3. In the pop-up window, enter or edit the name for the holiday, click when it occurs and use the check boxes, sliders and text fields to adjust the rules, as appropriate.
      4. Click Save.
    2. Set the user answering rules:
      1. On the menu bar, click .
      2. Click the Name of an extension that needs the time frame applied to it.
      3. Click the Answering Rules link.
      4. Check to see whether the time frame already applies to that extension. Otherwise click Add Rule.
      5. Using the Time Frame drop-down list, select the time frame you defined in step 1.
      6. Complete the other settings as appropriate (see Table 4-2).
      7. Click Save.
      8. Reorder the time frames as needed to ensure the new rule will take precedence.

    Setting Call Forwarding

    1. On the menu bar, click .
    2. Click the name of the extension you want to forward.
    3. Click the Answering Rules tab.
    4. Hover over a time frame and then click the  icon.
    5. In the pop-up window, select the appropriate call forwarding check box and enter the extension, number or phone.

    Note: For more information about Call Forwarding, see 'Adding Answering Rules'.

    6. Click Save.

    Blocking a Caller

    1. On the menu bar, click .
    2. Click the name of the extension that needs a block.
    3. Click the Answering Rules tab.
    4. Click the Allow/Block button.
    5. In the pop-up window, enter the caller's number under Blocked Numbers and then click +.
    6. Click Done.

    Star Codes

    The star codes below can be dialled from any handset or device registered to an extension on the PBX to configure some of its features.

    *72

    Sets Permanent Forward destination on an extension, *72 should be followed by the number you wish to forward to in international format.

    This will automatically activate the Permanent Call Forward.

    *40 Activates the Permanent Forwarding set by the *72 star code. *40
    *73 Disables the Permanent Forwarding set by the *72 star code. *73
    *41

    Sets the Busy Forward destination on an extension, *41 should be followed by the number you wish to forward to in international format.

    A busy forward will trigger if the user is on the phone and call waiting is not enabled on their device.

    *90 Activates the Busy Forwarding set by the *41 star code. *90
    *91 Disables the Busy Forwarding set by the *41 star code. *91
    *42

    Sets the No Answer Forward destination on an extension, *42 should be followed by the number you wish to forward to in international format.

    A No Answer forward will trigger if the user Ring Time is met; this is set within their answering rules section.

    *8 Call Group Pickup allows you to pick up a call ringing on a colleague's phone on your handset. Simply dial *8 when their handset is ringing to retrieve the call. *8
    *67 Blocks your CallerID on the call you are making, you should prefix the number you are calling with *67. *6702035888000

    Voicemail

    Accessing Voicemail

    • To access voicemail
      1. Press the Messages button on your phone to access your voicemail box, or dial 5001 if you can not identify the voicemail button.
      2. If you subscribe to multiple mailboxes, a list of mailboxes may appear. Select the mailbox you want to access.
      3. When prompted, enter your voicemail PIN and then press #.
    • To access another person's mailbox
      1. Dial 5000.
      2. When prompted, enter the other person's extension number.
      3. Enter the voicemail PIN of the other person's mailbox, followed by #.
